How it works

Six steps, one platform

Office and field crew see the same data in real time.

1

Import the work list

Paste from Excel, or upload a PDF, photo or screenshot — AI reads it into columns.

  • Column mapping detected automatically, editable before saving
  • Duplicates flagged; low-confidence rows held for review
  • Multi-city: each job belongs to its location
2

Plan zones and routes

Addresses are geocoded and grouped into zones; the route order is calculated, not guessed.

  • Nearest-neighbor + 2-opt optimization removes back-tracking
  • Work split between technicians and balanced by load
  • “Reorder from where I am” re-plans the rest of the day
3

Work the job on the phone

A mobile form built for the street: big address, one-tap directions, status, reason and two photos.

  • Before/after photos from the live camera only — no gallery uploads
  • Each photo stamped with GPS, accuracy and time; uploads instantly
  • A job can’t be left pending without a reason
4

See everything on the live map

Every job is a pin: green done, orange pending, gray not visited — filter by status, zone or technician.

  • Office can drag a pin to correct a location; the change is logged
  • Map of sign-ins and field actions proves visits were made on site
5

Measure the operation

KPIs come from the work itself — nobody fills out a timesheet.

  • Time per meter change, from the before and after photos
  • Crew workdays, active time, output per technician and per day
  • Pace and projected completion date
6

Deliver the report

Filter by status and by list date or completion date, then download exactly what the client needs.

  • Excel, and Excel with the before/after photos inside the sheet
  • PDF summary and PDF with photos
  • Photos ZIP named by address, with a browsable index

Live map

The whole operation, at a glance

  • Calculated zones and routes. Addresses are grouped and ordered so nobody back-tracks.
  • Balanced workload. Jobs are split between technicians by how much each one has.
  • Re-plan from the street. “Reorder from where I am” recalculates the rest of the day.
  • Filters. By status, zone or technician — and the office fixes a pin by dragging it.
Cybersecurity

Built so the evidence holds up

Security isn’t an add-on: every layer, from the camera to the download, protects the data and proves the work.

Tamper-resistant evidence

Photos come only from the live camera. Each one carries GPS, accuracy and timestamp; the server rejects anything else and strips hidden metadata.

Private photo storage

They live outside the public web and are served only to signed-in users — a guessed link returns nothing.

Complete audit trail

Who, what, when, from which IP and where: sign-ins, every field change (before → after), photo uploads and downloads.

Roles and sessions

Office and field crew roles with separate permissions. Sessions expire on inactivity and all traffic runs over HTTPS.

Secure by design

Parameterized queries, escaped output and formula protection in every spreadsheet export.

AI with a human in the loop

AI reads the documents, but nothing is saved until a person approves every row; uncertain readings are held back.

Who it’s for

Contractors who have to prove it

Crews that replace, install or inspect meters and boxes for a city or a utility.

Proven in the field

Our first client is a water-meter box replacement contractor in Lumberton, North Carolina. CrewTrack was built around their daily operation: city work lists, crews on the street and photo reports for every address.

Multi-company

Each company keeps its data, users and projects isolated. Several cities in one account: every job belongs to its location.

Technology

Proven, maintainable components — no per-seat map fees, no vendor lock-in. It runs in the phone’s browser, nothing to install.
